2. Scope
This policy applies to personal information we process through the Website and in our sales, marketing and general business communications. It does not apply to data we process on behalf of our clients when we deliver services. That data is processed only on the client's instructions and is governed by the written agreement with that client.
3. Information we collect
Information you provide. When you fill in a form, email us or speak with us, we may collect your name, work email address, phone number, company name, job title, company size, the content of your message and any other information you choose to share.
Information collected automatically. When you visit the Website, we and our service providers may automatically collect technical information such as your IP address, browser type and version, device type, operating system, referring URL, pages viewed, time spent on pages, date and time of access, and approximate location derived from your IP address. We collect this through cookies and similar technologies (see Section 6).
Information from other sources. We may receive business contact information from publicly available sources, professional networking platforms, business partners or people who refer you to us.
Please do not send us sensitive personal information (for example health, financial account or government identification data) or confidential business information through the Website.
4. How we use personal information
- To respond to your inquiries and schedule calls.
- To prepare proposals, enter into and perform contracts, and manage our business relationship with you or your organization.
- To operate, maintain, secure and improve the Website, including troubleshooting, analytics and fraud prevention.
- To send business communications that may interest you, where permitted by law. You can opt out at any time.
- To comply with legal obligations, enforce our terms and protect the rights, property and safety of Synvitas, our clients and others.
We do not use personal information collected through the Website to make decisions that produce legal or similarly significant effects about you based solely on automated processing.
5. Legal bases for processing (EEA, UK and Switzerland)
If you are located in the European Economic Area, the United Kingdom or Switzerland, we process your personal information on the following legal bases: performance of a contract or steps taken at your request before entering into a contract; our legitimate interests in operating our business, responding to inquiries, securing the Website and promoting our services, where those interests are not overridden by your rights; compliance with legal obligations; and your consent, where required (for example for non-essential cookies). Where we rely on consent, you can withdraw it at any time.
6. Cookies and similar technologies
We use cookies and similar technologies to make the Website work, remember your preferences and understand how visitors use the Website. These fall into the following categories:
- Strictly necessary: required for the Website to function and be secure. These cannot be switched off.
- Analytics: help us measure traffic and improve content. Where required by law, we use these only with your consent.
- Preference: remember choices you make, such as cookie settings.
We do not use cookies for cross-context behavioral advertising. You can manage cookies through the cookie settings on the Website, where available, and through your browser settings. Blocking some cookies may affect how the Website works. Where required by applicable law, we treat a Global Privacy Control (GPC) signal from your browser as a valid request to opt out of the sale or sharing of personal information.
7. How we disclose personal information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We disclose personal information only as follows:
- Service providers that process information on our behalf, such as website hosting, email, customer relationship management, analytics, scheduling and IT support providers. They are contractually bound to use it only to provide services to us and to protect it.
- Professional advisers such as lawyers, accountants and auditors, under duties of confidentiality.
- Business transfers: in connection with a merger, acquisition, financing, reorganization or sale of all or part of our business, subject to standard confidentiality protections.
- Legal requirements: when required by law, regulation, legal process or a governmental request, or when necessary to protect our rights, users or the public.
- With your consent or at your direction.
8. International data transfers
Synvitas is based in the United States, and our service providers may process information in the United States and other countries. These countries may have data protection laws that differ from those in your country. Where required, we transfer personal information from the EEA, the UK or Switzerland using appropriate safeguards, such as the European Commission's Standard Contractual Clauses and their UK and Swiss equivalents.
9. Data retention
We keep personal information only as long as needed for the purposes described in this policy. Inquiry and business contact information is generally kept for up to three years after our last interaction, unless a longer period is required to perform a contract, resolve disputes, enforce our agreements or comply with legal, tax or accounting obligations. When information is no longer needed, we delete or anonymize it.
10. Security
We use reasonable administrative, technical and physical safeguards designed to protect personal information, including encryption in transit, access controls based on least privilege and multi-factor authentication for our systems. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Your privacy rights
